Overview

Responsible for providing administrative support to program staff, on-site and off-site, which require in-depth knowledge of assigned program areas.  Provides quality services to clients by maintaining records, reviewing, and tracking documentation, while ensuring compliance. Takes all incoming calls and schedules outpatient appointments.

Responsibilities

  • Maintain clinical files in the Electronic Health Records (EHR) system, process intake forms and review for completeness, process records requests as per agency policies.
  • Ensure confidentiality of employee and client information.
  • Manage Outpatient Program Scheduling and updating as needed (cancellations, availability, etc.)
  • Complete and process intake referrals
  • Process enrollments for the Coordinated Care Organization (CCO) State Medicaid and Private Insurance.
  • Verify insurance information.
  • Maintain ongoing authorizations and requests.
  • Perform quarterly completeness reviews.
  • Record data on daily and weekly basis as requested.
  • Prepare and update client records (EHR) at discharge/transfer 
  • Keep all forms updated and stocked in file cabinet.
  • Maintain inventory of office and Personal Protective Equipment (PPE) supplies, placing orders as needed
  • Complete MOTS reviews
  • Manage phone coverage and receptionist duties
  • Establish and maintain professional relationships with other staff, community agencies, the public and clients.
  • Observe all agency policies and procedures.
  • Manage and complete training in a timely manner  (Relias) 

Other Duties and Responsibilities

  • Assume additional responsibilities as assigned by the Office Specialist Supervisor.

Qualifications

 Minimum Qualifications:

  • Requires a High School diploma or General Education Degree (GED).
  • Basic Math Skills
  • Experience with Microsoft Office Suite
  • Must be able to clear a background check conducted through ODHS.

Preferred Qualifications

  • Two or more years working in an administrative/receptionist role
  • Experience with MMIS Eligibility Tracker, MOTS (OHP Demographics/outcome tracking)
  • Ability to empathize and effectively communicate with clients who may be in crisis/hostile/emotional/etc.

Compensation:

$14.44 – $24.19 Hourly
